Managing Licensed Provider Accounts

We recently found that when licensed users (providers) are deleted it produces “dirty” data which was causes undesirable results. Deleting users should not be required if properly licensed but if there is a need to do so, we recommend changing those users from licensed to basic instead of deleting them. This is a much simpler process and can be done in bulk within the Zoom web portal today. Once a provider account is changed from licensed to basic, it will automatically be reassigned a licensed account the next time they conduct a video visit.
One thing to keep in mind when changing licensed provider accounts - please make sure that you do not change the “scheduler” user accounts. These accounts are created based on the number of initiated and hosted API calls (not video visits). These schedulers accommodate up to 1000 API hosted calls. For example when you reach the first 1000, Zoom will create a scheduler. If you then see an increase to 2000, another scheduler will be created. If the next day you only see 1000 we will just reuse the existing scheduler previously created. These “scheduler” accounts are needed for scalability.
Process for changing from licensed to basic:
- Log into https://zoom.us (admin rights required)
- Under user management>users: click on the “advanced search” option
- In the “type” drop down box, change from “All Types” to “Licensed” and enter “zoomtelevisit.com” in the “search by email domain” box.
- Click the “Search” button. This will produce a list of all licensed Epic user accounts automatically created by the integration.
- Select either individual accounts or the entire list by placing a check mark by each user or by checking the “Email/Name ID” box to select all users with the zoomtelevisit.com domain.
Note: Be sure to deselect the “scheduler” user accounts as previously mentioned above.
- Click on the “Type” button above the list of users
- Select “basic” for the user type and click "Save".
